How do I create a Churchman account for my church?
Visit web.churchmann.org/auth/signup and register with your church name, email address, and a secure password. After verifying your email, you'll be guided through a quick onboarding wizard to set up your church profile, upload a logo, and invite your first admin team members.
Can multiple staff members access the same church account?
Yes! Churchman supports multiple admin roles. You can invite staff, volunteers, and pastors with different permission levels — from full admin access to view-only roles. Each user logs in with their own credentials for full accountability and security.
Is there a mobile app for Churchman?
Churchman is fully optimised for mobile browsers, so you can manage your church from any smartphone or tablet without needing to download an app. A dedicated mobile app is on our roadmap and will be available soon for both iOS and Android.
How do I migrate my existing member data into Churchman?
We make migration easy. You can import members via a CSV file directly from your dashboard. We support imports from spreadsheets or other church management tools. Your CSV should include columns for:
- First name, Last name, Email, Phone number
- Address, Membership status, Date joined
- Family group (optional)
Our support team is also available to assist with bulk data migration for Growth and Enterprise plans.
What is included in the Free plan?
The Free plan supports churches with up to 50 members and includes basic member management, a finance dashboard, and limited core features. Google Ads will be displayed in the Free plan. SMS services are available at an additional per-message cost. It's a great way to get started with no commitment.
Can I upgrade or downgrade my plan at any time?
Absolutely. You can upgrade your plan at any time from your account settings and the new features will be available immediately. If you downgrade, the change takes effect at the start of your next billing cycle and your data is safely preserved.
Do you offer discounts for registered non-profits or missions organisations?
Yes! We believe in supporting faith communities. Registered churches and non-profit organisations may be eligible for a special discount. Please contact us at [email protected] with your registration documents and we'll be happy to assist.
What payment methods do you accept?
We accept major credit and debit cards (Visa, Mastercard), mobile money (MTN Mobile Money, Vodafone Cash, AirtelTigo Money for churches in Ghana), and bank transfers. Enterprise clients can also request invoice-based billing. All transactions are processed securely.
How does the member database work?
Each member gets a rich profile that includes personal details, family connections, group memberships, attendance history, giving records, prayer requests, and pastoral notes. Profiles are searchable and filterable, making it easy to find, segment, and communicate with any group within your congregation.
Can members update their own profiles?
Yes! Members can log into their own self-service portal to update contact information, view their giving history, register for events, and submit prayer requests. This keeps your data accurate without creating extra work for your admin team.
How do private prayer requests work?
Members can submit prayer requests directly to designated pastors or care team leaders — privately and confidentially. Leaders are notified instantly and can respond, follow up, or mark requests as prayed for. Members never see each other's private requests unless the member chooses to make one public.
How does online giving work on Churchman?
Members can give one-time or set up recurring donations directly from their member portal. Contributions are tracked automatically against each member's profile, and the finance dashboard gives church leadership real-time insights into total giving, trends, and fund-specific breakdowns. In-app payment processing is available on the Enterprise plan.
Can Churchman generate giving statements for tax purposes?
Yes. Churchman can automatically generate annual giving statements for each member. These can be emailed directly to members or downloaded as PDFs for distribution. This saves hours of manual work at year-end and ensures every member has the documentation they need.
Is there a transaction fee on donations processed through Churchman?
Standard payment processor fees apply (typically 1.5%–2.9% depending on the payment method and your region). Churchman itself does not add any additional platform fee on top of processed donations. Enterprise plan clients benefit from preferential processing rates. Contact us for details.
How does QR code check-in work?
For each event or service, you can generate a unique QR code or registration link. Members simply scan the code on arrival with their smartphone, or click the link to check in digitally. You can set an expiry time on check-ins to ensure attendance data is accurate. Reports are instantly available after each service.
Can I track attendance across multiple campuses or services?
Yes. You can create separate events for different campuses, service times, or ministry groups. Each event has its own attendance report, and the overall dashboard aggregates data across all your activities so you get a complete picture of engagement across your whole church.
How is our church's data kept secure?
Churchman uses industry-standard SSL/TLS encryption for all data in transit and AES-256 encryption for data at rest. We perform regular automated backups and host on secure cloud infrastructure. Can we delete our data if we stop using Churchman?
Yes. You can export all your data at any time in standard formats (CSV, PDF). If you close your account, you can request a full data export before deletion, after which all your church data is permanently removed from our servers within 30 days. We believe your data belongs to you.
